Job Description

Position Summary:

This position is on-site in the Columbus, Ohio Metropolitan Area.

Front Office Manager (FOM) is responsible for a variety of clerical and Human Resource duties in the office. Patient Registration Representatives (PRRs) are the first point of contact in at Pediatric Ophthalmology Associates, Inc. and are required to represent the Practice in a professional manner. The PRR is accountable for obtaining patient’s demographics and billing information, collect payments, and utilizes multiple software programs.

The Front Office Manager is responsible for management of the workflow and tasks associated with the Front Office including employee reviews, discipline, and hiring.

Essential Functions:

  • Demonstrate professional communication skills and excellent customer service.
  • Plan and communicate front office schedule with staff.
  • Ensure appropriate patient registration staffing for each POA office
  • Act as management. When personnel issues arise that may require disciplinary action the FOM is responsible for addressing either in writing or verbally.
  • FOM is responsible for documenting all disciplinary actions appropriately and involving administration when required.
  • Facilitate the hiring process for the department with the aid of HR or administration as needed.
  • Train new hires effectively. Cross train as required to meet practice needs.
  • Comply with POA management requirements including refraining from gossip, setting a positive example and maintaining confidentiality at all times.
  • Participate in process improvement and provide feedback to staff and administration to improve outcomes.
  • Act in cooperation with the Scheduling Lead and/or manager to ensure work load is completed in the most efficient and effective manner and excellent customer service is provided.
  • Ensure accurate collection and entry of patient data and payments.
  • Assist employees in completion of critical tasks during time of peak workload.
  • Travel to offsites as needed for managerial support and coverage
  • Report to work consistently - this position is on-site.

Perform all functions of Patient Registration Representative including but not limited to:

  • Accurately register patients, collect demographic and billing information.
  • Collect payments due when applicable
  • Create and manage patient charts
  • Answer Practice phone, appropriately transfer calls when necessary
  • Schedule appointments
  • Check patients out including scheduling future and follow up appointments.
  • Accurately records and documents patient information
  • Preform clerical tasks as needed
  • Comply with all legal, ethical, and Practice requirements
  • Establishes and maintains patient relationships, building trust and respect by consistently meeting or exceeding expectations.
  • Operates as a team member with all associates and patients of POA
  • Attends work regularly as scheduled
  • Performs other incidental and related duties as required and assigned

  • Develop and maintain a good working rapport with manager, coworkers, patients, and external contacts.
  • Able to work effectively with other employees, patients, Physicians, and external parties
  • Create and maintain a professional atmosphere and a positive attitude, as well as a calm environment
  • Appropriately dressed for the position; this includes internal and external functions

Experience, Education, Skills, and Training Required

  • Must possess at minimum a high school diploma or equivalent - Bachelors degree preferred.
  • Broad knowledge of medical terminology
  • Ability to prioritize workload
  • Ability to maintain a professional demeanor at all times
  • Excellent verbal and written communication skills
  • Demonstrate proficiency in computer applications as required
  • Working knowledge of telephone etiquette
  • Able to follow written and oral instructions
  • Proficient with data entry
  • Excellent customer service
  • Continuing education as required
