The Operations Coordinator role demands resourcefulness, innovation, and proactive support for facility management, operations team, and executive leaders. This multi-faceted position serves as a coordinator for shipping, receiving, and building maintenance operations, as well as handling various operational administrative tasks essential to ensure smooth product flow, offer project support, and uphold facility functionality.

Key Responsibilities

  • Strong organizational skills to manage multiple tasks, schedules, and priorities efficiently.
  • Problem-Solving abilities with the ability to identify issues, develop solutions, and implement effective resolutions.
  • Provide comprehensive administrative support, including drafting emails, memos, and communications, as well as coordinating meetings and managing shared calendars.
  • Handles basic bookkeeping tasks and helps manage office inventory and supplies.
  • Manages employee business travel using Concur system
  • Procure couriers and manages shipping logistics (domestic and international).
  • Assist with inventory management.


Qualifications

  • Two or more years' experience in an office setting is required.
  • Detail-oriented with strong organizational skills to manage multiple tasks, schedules, and priorities efficiently ensuring thoroughness and precision.
  • Excellent communication skills with the ability to ability to think independently and effectively communicate with internal teams, vendors, and stakeholders.
  • Resourceful and self-motivated; able to work independently, adapt to changing priorities and requirements, and adjust plans and strategies as needed to achieve objectives.
  • Technical proficiency and aptitude for learning new systems and technologies to support operational needs.
  • Experience with shipping and receiving processes, logistics operations, and inventory management is a plus.
  • Experience with budgeting, cost control, and financial management related to building operations and maintenance is a plus
  • Previous experience in facility management, operations coordination or a related field is preferred but not required.
  • Ability to drive a forklift is desired, but candidate can be trained.
