Accounts Payable Specialist

Job purpose

The primary responsibilities of this position include the processing and reconciling of vendor and subcontractor invoices/pay apps to contracts and purchase orders and uploading them to an electronic payables workflow system.

Duties and responsibilities

• Post all vendor invoices and credit memos daily, high volume
• Communicate with vendors and address any issues in a timely manner, including vendor billing discrepancies
• Reconcile vendor invoices to monthly statements
• Coordinate vendor invoice approvals with project managers 
• Manage the collection and processing of employee expense reports, fuel reimbursements, and inventory sheets
• Compile invoice information from vendors inquiring about payment and communicate regarding check run when ready.
• Obtain and enter W9 information and insurance certificate for new vendors and maintain vendor profiles in Sage Contractor 100. 
• Manage A/P and Accounting emails on a daily basis. 
• Manage pre lien and lien waiver information by saving information to designated job folders in the shared drive.
• Process credit card transactions on a weekly basis.

Qualifications

• High School Diploma required, AA or Bachelor's Degree preferred. 
  
• Excellent communication and customer service skills. 
• 2-3 years of experience with Accounts Payable, preferably in the construction industry. 
• Detail oriented and a demonstrated sense of urgency.
• Independent work ethic and professional, positive attitude.
• Strong Microsoft Office skills (Excel, Word, and Outlook). 
• Sage Contractor 100, experience desired.

• Ability to respond to common inquiries or complaints from customers or members of the business community.
• Ability to write routine and non-routine reports, correspondence and to effectively speak with customers and employees of the Company.
• Possess the ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals to compute rate, ratio and percent and to assess and interpret practical business solutions.
• Ability to define problems, risks, solutions and opportunities, collect data, establish facts and draw valid conclusions.
• Possess the ability to respond and communicate effectively with customers and members of the business community and apply common sense understanding to business unit requirements.
• Must exhibit exceptional people skills, flawlessly manage customer expectations, must be a good listener and provide prompt responses to all requests.

Working conditions

Majority of time is spent working in an office environment. Required to attend meetings to explain accounting and financial policies. Must spend time keeping up with the field by attending seminars and professional meetings.
