The Opportunity:
We are seeking an experienced Sales Operations Administrator to join the Maclean SalesOps team based in our Sacramento office. This position will be under the supervision of the Sales Operations Manager, overseeing a team responsible for managing efficient, effective, and complex orders and contracts.
The Role:
The role of the Sales Operations Administrator is crucial in optimizing organizational sales processes and ensuring alignment with overall business objectives. Responsible for seamless coordination between the sales and accounting departments, this position plays a key role throughout the entire sales order process — from supporting proposal generation and cost estimating to overseeing contract reviews. The scope of responsibilities extends to post-award contract support, including managing order records and providing customer assistance. Essential qualities for this role include strong communication skills, a quick grasp of company processes, products, accounting procedures, and sales processes. The ideal candidate thrives in a fast-paced environment, adeptly managing shifting priorities while maintaining the utmost confidentiality with both internal and external customers. The position is on-site, full-time, Monday-Friday.
Responsibilities:
• Maintain and update sales databases, CRM systems, and relevant platforms;
• Collaborate with the accounting department to facilitate the smooth processing of sales orders, invoices, and billing discrepancies, ensuring accuracy and timeliness;
• Assist the sales team in generating accurate quotes and pricing information, ensuring alignment with financial policies and profitability targets;
• Support the sales team in managing contracts and agreements, ensuring compliance with financial and legal requirements;
• Review incoming quote requests (RFQs), set up new projects, and monitor active awarded projects;
• Monitor reports and sales database and communicate with customers;
• Understand company business systems, procedures, and processes for integration awareness;
• Assist in tracking and reconciling sales-related expenses, providing necessary documentation to the accounting department;
• Support administrative duties as needed.
Qualifications/Requirements:
• 2+ years of experience in sales and accounting;
• Skilled in using sales database and workflow systems;
• Strong analytical and strategic thinking with effective problem-solving abilities;
• Clear and impactful communication, both written and verbal;
• Detail-oriented with precision and a focus on data accuracy;
• Adaptable to fast-paced and dynamic work environments;
• Familiarity with Salesforce CRM and other sales tools;
• High proficiency in Microsoft Word, Excel, and Google Workspace;
• Experience with QuickBooks and government contracts is a plus;
• Able to work independently and collaboratively within a team;
• Preference for candidates with a minimum of two years of college education or more.
Salary Range: $50,000 - $60,000 per year, commensurate with experience and qualifications.
