Job Title: Retina Scribe

Department: Clinic

Reports To: Scribe Supervisor & Director of Clinical Services

FLSA Status: Non-Exempt

Location: NVEC – must be able to travel to both Yuba City and Redding

Salary: $21 - $26

Summary:


Primary duties and responsibilities are to accompany a physician through their workday and chart patient encounters using the Electronic Medical Record (EMR) system and existing templates and components for an ocular exam. Must be willing to travel to other clinics. The successful candidate will be friendly, efficient, possess a good work ethic and have a positive attitude.


Additionally, incumbents will generate referral letters for physicians, manage and sort medical documents within the EMR system, and assist with e-prescribing. Candidates will have strong attention to detail, the ability to multi-task, and be able to adapt to a fast-paced work schedule. Must comply with all HIPAA standards and always observe strict patient confidentiality.


Essential Functions:

  • Will accompany the physician and accurately transcribe medical history during a patient examination.
  • Lists all proper diagnoses, symptoms, follow-up instructions, results, diagnostic imaging, treatment progress, and prescriptions as dictated by the physician.
  • Transcribe patient orders including laboratory tests, radiology tests, and medications.
  • Provides administrative support by scheduling appointments, answering phone calls, and managing patient inquiries related to retinal care.
  • Document, assist, and train others in all procedures performed by the physician.
  • Refer patient questions regarding diagnoses or test results to the doctor.
  • Anticipate and communicate with other technicians to ensure the proper flow of patients and their needs.
  • Ability to multi-task efficiently and effectively.
  • Must be able to act calmly and effectively in a busy or stressful situation.
  • Ability to communicate professionally and effectively in English to providers and patients in person, by phone, and in writing.
  • Adherence to all policies and procedures including, but not limited to, standards for safety, attendance, punctuality, and personal appearance.
  • Must be able to establish and maintain effective working relationships with managers and peers.
  • Ensures compliance with healthcare regulations and maintains patient confidentiality at all times.
  • Works closely with retinal specialists during patient encounters to accurately document medical histories, chief complaints, and treatment plans in electronic medical records (EMR) systems.
  • Assist with office procedures and performs other duties as assigned by supervisors to support the smooth operation of the clinic.
  • Ability to travel locally within the designated region.


Knowledge, Skills, and Abilities:

  • Medical terminology and exceptional grammar.
  • Recognition of physical exam process and ability to record exam details.
  • Computer proficiency, fast typing skills, and an ability to quickly learn new applications.
  • Organizational skills with a focus on tracking patient care and improving patient flow.
  • Professional demeanor and recognition of privacy considerations for patients and families.
  • Willingness to learn and adapt to new technologies and procedures in the field of ophthalmology and retinal care.
  • CPR certification (training available).
Requirements:

Ideal Candidate:

  • Previous experience in a healthcare setting, optometry, or ophthalmology is helpful, but not required.
  • Degree or coursework in a relevant field.


Minimum Qualifications:

  • High school diploma or equivalent.
  • Excellent interpersonal communication skills.
  • Ability to work independently and demonstrate initiative and flexibility within a team environment.


Physical Requirements/Typical Working Conditions/Environment:

  • Primarily a temperature-controlled facility.
  • Work may require prolonged standing, some bending, stooping, and stretching.
  • Requires eye-hand coordination and manual dexterity sufficient to operate clinical testing equipment, a keyboard, mouse, and standard office equipment.
  • Requires normal range of hearing and eyesight to communicate in person, by phone, or over video.
  • Requires occasional lifting of papers or boxes up to 30 pounds.
  • Ability to travel to multiple clinics and must have the following:
    • A valid driver's license.
    • Clean driving record free of major traffic violations such as DUIs, reckless driving, or multiple moving violations.
    • Provide proof of vehicle registration and auto insurance that meets the state's minimum coverage requirements.
    • Candidates must comply with all relevant state and federal laws related to driving, including those regarding vehicle safety, seat belt usage, and cell phone usage while driving.
    • Transportation benefits: mileage reimbursement or access to a company vehicle and gas card.

Essential Physical Tasks:

Sight: sufficient to read physical documents, and images on a computer monitor.

Smell: sufficient to discern smoke/something burning, and other odors.

Hear: sufficient to hold face to face/telephone/video call conversations, and to discern other ambient noises.

Touch: sufficient to operate keyboard, mouse, other standard office equipment, and writing implements.

Physical ability/strength: sufficient to lift, twist, turn, reach, climb, kneel, squat, sit, walk, stand, bend as needed throughout a standard shift.
