HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.HJF is seeking a Program Coordinator to provide administrative project oversight of a narrower scope under the direction of a supervisor. Completes more routine tasks independentlyand relies on guidance from higher Program Manager (PM) levels for more complex tasks

This position will be in support of Global Infectious Diseases (Global ID) portfolio located at the Walter Reed Army Institute of Research (WRAIR) in Silver Spring, MD. HJF provides scientific, technical, and programmatic support services to the Military HIV Research Program (MHRP), Emerging Infectious Diseases Branch (EIDB), and Diagnostic & Countermeasures Branch (DCB). The incumbent will serve as the HJF primary point of contact for the WRAIR site, performing a wide range of administrative tasks under the direction of the Team Lead. Some general tasks include preparing reports and tasker responses, coordinating portfolio meetings, creating, and editing documents, spreadsheets and presentations as well assisting in managing schedules, arranging appointments and itineraries.

Responsibilities

  • Serve as the primary HJF liaison for the WRAIR site, working closely with US Government stakeholders to monitor site operations and resolve site related issues under the direction of a supervisor.
  • Perform duties associated with WRAIR processes including but not limited to in-processing, out-processing, and badge renewals.
  • Provide continuous support for multiple tasks within the Global ID portfolio, contributing to daily program operations.
  • Maintains awareness of important site related announcements and shares with portfolio employees as necessary.
  • Create and maintains secure department files and assists with initiating, organizing, and completing department projects such as site required taskers.
  • Coordinate HJF Global ID meetings, seminars, and events both onsite at WRAIR and Rockledge Home Office as necessary.
  • Manages calendar, coordinates meetings, arranging appointments and itineraries for Global ID Leadership.
  • Ensures accuracy and clarity in both written and verbal communication.
  • Maintains and updates databases and spreadsheets daily.
  • May develop new procedures for department as necessary.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.

Required Knowledge, Skills and Abilities

  • Ability to work independently, use sound judgement in solving problems.
  • Coordinate many complex processes and tasks simultaneously.
  • Excellent organization, oral and written communication skills.
  • Impeccable attention to detail.
  • Department of Defense (DOD) experience preferred but not required.

  • This position will take place primarily in an office setting.

Education and Experience

  • Bachelor's Degree required
  • Minimum of 0 - 2 years experience required
