Job Description

We seek a dynamic, organized team player to join our staff at the Episcopal Church in Northern California, a progressive Protestant denomination that honors and welcomes all people.

Our region includes 63 churches across the North State: from the Pacific Coast to the Sierra Nevada that forms our eastern boundary; and from the vineyards and cities of the Napa/Sonoma Valleys up to the Oregon border in the north. Our diocese also includes the historic Gold Country towns in the Sierra foothills, the orchards and fields of the Central Valley, and the redwood forests of the North Coast.

Responsibilities and Duties

  • Assist in managing supervisor's calendar: book appointments, screen and respond to requests for meetings.
  • Track and process expenses - receipts and reimbursements.
  • Manage correspondence: ensure timely response, including drafting letters for supervisor.
  • Assist with travel arrangements as requested.
  • Anticipate needs for upcoming meetings, both on- and off-site.
  • Take meeting minutes when requested.
  • Prepare meeting packets, handouts for committees, candidate materials, and retreats, or other materials as needed.
  • Able to communicate clearly and compassionately with clergy and laity during sensitive conversations.
  • Maintain confidentiality.
  • Update and track clergy positions on website and various calendars.
  • Assist congregations in web development regarding open clergy positions.
  • Provide support in all aspects of diocesan events, including, but not limited to: planning, coordination, logistics, operations and evaluation.
  • Other duties as assigned.

Training & Experience:

  • B.A or B.S. degree, or equivalent experience
  • Evidence of computer competence at level required
  • Some familiarity with the Episcopal Church (or other mainline denomination) is desirable but not required

Licensing Requirements:

  • Valid California Driver’s license 
  • Current automobile insurance at the state-required minimum coverage level

Knowledge (proficiency at entry or ability to onboard quickly):

  • Intermediate knowledge of and experience with Microsoft Office 365 (Excel, Word, PowerPoint) and Google Drive. (Required)
  • Able to manage time efficiently.
  • Bilingual Spanish/English strongly preferred.
  • Must be able to onboard quickly: understanding of the traditions and liturgical customs and vocabulary of the Episcopal Church. Sensitivity to correct titles and forms of address, protocols.
  • Some familiarity with and ability to manage web-hosting platforms (WordPress, Wix, Tithley), as well as Constant Contact and JotForm strongly preferred.
  • Ability to create and manage various social media platforms including Facebook, Instagram, TikTok

Skills (proficiency at entry):

  • As part of the Bishop's staff, this position requires excellent communication (speaking, writing, and listening) skills on all levels: interpersonal, written, and telephone.
  • Confidentiality, diplomacy, and firmness are essential.
  • Strong knowledge of computer - word processing, transcription, some layout design, electronic communications, list maintenance.
  • Work efficiently in a fast-paced work environment.
  • Ability to organize, prioritize, and meet deadlines.
  • Foster positive connections throughout the diocese both inside and outside our church walls.
  • Host, manage, and record online meetings.
  • Able to function well as part of a collaborative team.

Physical Requirements:
The employee is frequently required to:

  • Stand, sit walk
  • Speak, listen & observe
  • Read e-mails, files, instruction manuals, & a variety of correspondence
  • Use fingers and hands in a variety of tasks, including writing and computer usage

The employee is occasionally required to:

  • Lift and/or move up to 25 pounds
  • Maneuver stairs and move about in a variety of properties
  • Drive to meetings in the Diocese

This position is full time, in-person, based in our Sacramento office (near Sac State). The Executive Staff Support II position helps the Office of the Bishop to operate efficiently and effectively. This position aids the Canon to the Ordinary (executive staff officer) and related staff to carry out mission and ministry in the diocese. No faith commitment is required for this position. Successful candidates will be expected to learn the structure and vocabulary (especially titles of address, etc.) of The Episcopal Church.
