Job Description

General Purpose: The basic function of the Project Coordinator/Engineer is to facilitate, control and monitor all project tracking and documentation for assigned project managers. Assume responsibility for the project file setup and maintenance, assistance in execution of all project documentation and specific job requirements and saving into all documents into the project management system. Ensure assistance and final creation and timely submission of all project budgets, schedules, change orders and all other required project specific documents efforts necessary in tracking and monitoring JLS projects per company policy.

EDUCATION & EXPERIENCE:

High school diploma or equivalent

Minimum three years’ experience in administration for a construction company.

Construction management Certificate Program a plus

SKILLS, KNOWLEDGE, AND ABILITIES

General trade knowledge or field work a plus in the construction industry

Basis understanding of job costing

Basic estimating and scheduling knowledge and skills

Ability to read and understand plans and specifications

Excellent written and oral communication skills

Strong attention to detail and process-oriented

Ability to multi-task and manage multiple priorities

Sense of urgency in all tasks assigned and highly organized

Ability to use independent judgement and work well independently

Ability to contribute effectively to team

Knowledgeable of Prevailing Wage processes and procedures a plus

Passionate about problem-solving

Comfortable with basic math and calculations

Drafting and advance computer skills a plus

Proficient in Microsoft Office

Main Job Tasks, Duties and Responsibilities - The primary duties of the Project Coordinator/Engineer include, but are not limited to the following:

· Responsible for documenting project meetings (write minutes) as directed by PM.

  • Initial set up of all construction jobs in JLS Approved software systems on a daily basis.
  • Responsible for initial input of electronic project files and updating system contacts and dates as the project progresses through closeout for accurately recording and tracking on operation reports produced for weekly production meeting.
  • Responsible for updating and maintaining all sets of drawings, specifications and project logs.

· Assist PM with preparation and updating of schedules and maintaining the master schedule, throughout the project.

· Evaluate and understand basic construction means and methods for project sites.

· Create and maintain site specific safety plan and pre-task planning process, including audits, meeting, training, etc. as directed by PM.

· Responsible to assist with distribution of all project documents to clients, subcontractors and maintain accurate document logs in project file.

· Assist with all client communication as requested by PM on jobs assigned.

· Assist in preparation, sending and follow up of all project documents to clients and subcontractors for signature and saving in project files – Contracts, Submittals, Change Orders, COS etc.

· Responsible for uploading all signed documents into JLS job files and updating appropriate dates in project management system and updating accounting as necessary.

· Assist in the document of potential changes and field issues at PM’s directions.

· Prepare and maintain change order logs, and RFI logs for all projects assigned by PM.

· Responsible to prepare, review, analyze, and transmit submittals to appropriate recipients.

· Responsible to prepare and maintain submittal and procurement logs as needed for all projects assigned.

· Perform expediting functions

· Review a verify accurate time and cost codes on daily work orders submitted by technicians for previous day of work assigned with PM assistance as needed.

· Approve and submit technician time to accounting for processing daily.

  • Opening PO’s once owner contract is received and PM has approved materials purchases and or subcontractor quotes.
  • Preparing, sending and tracking of subcontractor contracts, until executed.

· Review all cost codes on all AP invoices on assigned projects, reviewed with PM for final approval and return to accounting for processing.

· Create weekly project progress reports to verify estimated vs actual quantities for labor and cost on all jobs assigned for PM review and reports variances with work papers as back up.

· Report quantities in place and maintain labor cost report

· Prepare and document extra work orders

· Prepare, review and assemble change order submittals and quantity surveys for review and approval by PM prior to submission.

  • Responsible for following up with field personnel on any needed project documentation not received, ie: time submission, daily updates, photos uploaded etc.
  • Responsible for coordination of all jobsite items: i.e., Portable Restrooms, Dumpsters, etc.
  • Responsible for all project documentation into job file/folder for reference and use by all team members: contracts, photos, estimates, COS etc.

· Responsible to compile contract close out documents (O&M manuals, as-builts, etc.) as needed for assigned projects for review and approval by PM prior to submission.

· Responsible to maintain record set drawings in electronic project files.

  • Key person to update accounting that project is ready for final billing.

· Prepare documents to track and update punch list work needed through completion.

· Assist in creation or updating SOP’s for position after analysis of workflow processes.

  • Perform any other duties or responsibilities requested from time to time.
