We’re looking for a full-time Administrative Assistant who is a self-starter and possesses excellent communication skills to join our team. Our ideal candidate is willing to wear many hats in the office and step into a supportive administrative roll, involving assisting clients with the formation and maintenance of limited-liability companies, providing coverage to our Front Office Administrator, who welcomes our clients, manages a busy appointment calendar, and handles multiple phone lines and a variety of office administrative tasks. Must-Haves to be Successful in This Role
- Required 1-2 years’ (minimum) work experience in a law firm or similar professional office setting with extensive client interaction
- Estate planning background helpful but not required
- Friendly and professional demeanor both in person and over the phone
- Capable of multi-tasking and pivoting from one task to another
- Has excellent verbal, grammar, and proofing skills
- Is detailed oriented and has strong time management and organizational skills to accurately manage multiple calendars, competing priorities, deadlines, and various tasks
- Is self-directed, openly collaborates, and works well in a team environment
- Approaches challenges as an opportunity for growth and improvement to our systems
- Is adept at using MS Outlook, Word, Excel, Teams, SharePoint, OneDrive, and Zoom
- Experience using Clio Manage and Clio Grow preferred, but not required
Job Duties
· Formation of LLCs & drafting LLC organizational documents
· Signing appointments with clients of LLC documents
· Renewal of entity licenses and associated documents in NV and CA
· Frequently working with Silverflume, the NV Secretary of State website
· Drafting and recording of Deeds for LLCs
· Generating invoices on Clio and following up with payment submissions
· Mailing clients their renewal documents every month upon submission
· Interaction with clients to answer entity questions
· Back up/support to the Front Office Administrator
· Support team member to multiple departments in the firm
· Running office errands (requiring a car and valid NVDL)
· Retrieving files from local storage space (5 minutes from our office)
· Scanning
· Open to learning how to create other estate planning documents for clients in future
Schedule: Full-time, Monday-Friday, 8:30 a.m. to 5:00 p.m.
