What are we looking for?
The individual shall possess an advanced level of administrative experience with the ability to perform administrative type functions within CVM's Office of Management and the Office of the Director. The individual shall be able to complete non-routine assignments/tasks in a timely manner. The individual shall be able to perform independently, under pressure, manage multiple tasks/assignments, and adapt to an environment of "high level," quick response activities/tasks. Punctuality and reliable attendance are crucial. The individual shall be knowledgeable in "high level" office routines/environments and have an understanding of the organization, programs, and procedures related to the work of the office. The individual shall be familiar with how a "high level" executive office functions, standard concepts, practices, and procedures of an office environment and shall be proficient in Microsoft Word, Excel, and Power Point. The individual shall be extremely proficient in Microsoft Outlook. The individual will need to rely on experience and judgment to plan and accomplish multiple tasks as assigned. The individual shall possess a professional, mature, and courteous phone demeanor. The individual shall be outgoing, positive, creative, and self-motivated.

Fun stuff you will do on the job:
• As necessary, answer Office of Management’s and the Executive Officer’s phone lines.
• General clerical/administrative support duties to the Office of Management and the Office of the Director including, but not limited to, signing for packages, distributing mail twice daily, and maintaining staff mailboxes.
• Prepare Microsoft Power Point, Excel, Word, and Publisher documents as needed.
• Perform data entry.
• Act as an LMS Administrator in the HHS Learning Portal.
• Act as a Timekeeper in ITAS.
• Maintain Staff Director’s calendars
• Provide administrative support in SharePoint and/or similar repository and document management system(s) as needed.
• Proofread documents as needed for correct grammar, spelling, and punctuation.
• Photocopying, shredding, scanning documents as needed.
• Greet guests and direct visitors to government offices.
• Mailing of packages through United Parcel Service (UPS) online​​​​​​​

This is you:
• Ability to communicate effectively, orally and in writing.
• Ability to provide tactful and courteous telephone support and customer service.
• Ability to operate office equipment/machines such as photocopier, shredder, scanner, fax machine
• Knowledge of computer software and programs such as Microsoft Word, Excel, PowerPoint, and Outlook.
• Demonstrates ability/experience to work in high level office setting.
• Ability to manage multiple task-priorities.
• General knowledge and experience working with the federal government; especially the Food and Drug Administration (FDA).
• Knowledge of grammar, spelling, punctuation, and required formats sufficient to recognize and correct errors in various types of documents.
• Detail-orientation and critical thinking skills
• Ability to manage workload and time efficiently
• Ability to work independently at times and to collaborate as part of a team in a fast-paced environment​​​​​​​

Education and Training
• High School Diploma Required
